Vacancy: Members Administration and Finance Support Assistant

Inside Industry Association is the European Technology Platform for research, design and innovation on Intelligent Digital Systems and their applications. The Association is a membership organization for European research and innovation actors, with more than 250 members and associates from all over Europe. Inside is also a participant in the KDT (Key Digital Technologies) Joint Undertaking (JU), along with the European Commission and participating EU member states. The KDT-JU is an EU subsidy program for R&D projects aimed at developing digital technologies.

The objective of Inside Industry Association is to strengthen Europe's position in embedded intelligence and systems and to achieve a top position for the European industry. Inside creates a meeting space where top players from the industry and other R&D entities identify subjects for important innovation projects that they wish to approach together. Large companies, SMEs, universities, and research institutes active in the field of embedded systems are encouraged to become members.

The Inside Office is located at the High Tech Campus in Eindhoven and consists of a team of 5 employees. In this role you will closely work with and report to the Members Administration Coordinator, but you will also work closely with the other colleagues of the team.

(Assist with) Membership Administration

â–  First line contact with members via email (and sometimes by phone)

â–  Processing membership applications and monitoring the approval process

â–  Updating changes in CMS (Content Management System)

â–  Invoicing the membership fee

(Assist with) Project Administration

â–  Adding new- and updating existing project data in the database

â–  Invoicing project-related contributions to project partners

â–  membership alignment with 2 sister associations

(Assist with) Finance Support

â–  Entering financial data into the database and invoicing system

â–  Requesting missing data (purchase orders, financial details)

â–  Responding to invoice inquiries (by phone and email)

â–  Ensuring timely payment (including sending reminders)

â–  Reporting invoicing status to the Members Administration Coordinator

General

â–  Pick up the phone (not very busy) together with all colleagues

â–  Assist with other administrative tasks at the office.

â–  Assist at events when this rises to the occasion. Sometimes travelling in Europe might be needed.

Personal skills:

â–  Easy learner / willing to learn

Education & background:

â–  Minimum MBO diploma, but more important is a HBO working attitude

â–  Experience in an administrative position for at least 3 years

â–  Good knowledge of English both written and spoken

â–  Expert knowledge and experience with MS Office (Word, Excel, etc.)

â–  Knowledge and experience with CRM web applications is a plus

The candidate we are looking for is detail-oriented, with excellent numerical skills and an ability to work with a high degree of accuracy, is a true team player and can work well in a small and enthusiastic team. You are a structured and methodical worker, and you keep an overview of the work and make it visible to your colleagues. Additionally, you have strong communication skills at all levels, a flexible attitude, a hands-on mentality and you feel comfortable in a role with many international contacts.
